Privacy policy: Grace Calendar AI

Grace Calendar AI is a private calendar assistant that P1 Concept Limited ("P1", "we") operates for one client ("the client"). This policy explains what data it uses and how.
What we collect
- Messages and files the client sends to the assistant's Telegram bot: text, screenshots, photos and PDFs about the client's schedule.
- Google Calendar data, through Google's Calendar API, limited to two permissions the client grants: managing events on calendars the client owns (
calendar.events.owned), and reading the list of the client's calendars (calendar.calendarlist.readonly). - Operational records: an audit log of each proposal, confirmation and calendar change, kept so that every change can be traced.
How we use it
- To read the client's schedule information, propose calendar entries, and write them to the client's calendars only after the client confirms.
- To answer the client's questions about their own schedule, and to produce a printable month calendar for the client.
- We do not use the data for advertising, profiling, or any purpose other than providing this assistant to the client.
Google user data
Grace Calendar AI's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google Calendar data is used only to provide the calendar features described above. It is not sold, not used for advertising, not used to train general-purpose AI models, and not transferred to anyone except as needed to provide these features, to comply with law, or with the client's consent.
Who processes it
- P1 Concept Limited runs the assistant on a computer it manages in Hong Kong.
- Anthropic provides the AI model that reads the client's messages and documents, through its commercial API.
- Telegram carries the messages between the client and the assistant.
- Google hosts the client's calendars.
We do not sell or share the data with anyone else.
How long we keep it
- Raw screenshots, photos and PDFs are deleted automatically after the period agreed with the client.
- Calendar entries stay in the client's own Google Calendar, under the client's control.
- Audit records are kept for as long as the service runs, then deleted or returned to the client.
Security
Credentials are stored in files readable only by the assistant's own operating-system account, on an encrypted disk. The assistant can write only to a staging calendar until the client confirms, and it cannot change calendar entries it did not create.
The client's choices
The client can stop the service at any time, ask us to delete their data, and revoke the assistant's access to Google Calendar at myaccount.google.com/permissions.
